Notice of Annual General Meeting 2026

The Annual General Meeting of the New Zealand Standardbred Breeders Association will be held at the Commodore Hotel, Christchurch, at 1.30pm on Tuesday 20 October 2026.

The papers have been emailed to members

The notice of meeting, the agenda, the proxy form and the full supporting pack have been emailed to every member for whom we hold an email address. The supporting pack includes the minutes of the last Annual General Meeting, the Chairperson's and Executive Manager's reports, and the signed Performance Reports for the years ended 31 July 2025 and 31 July 2026.

What the meeting will decide

Members will be asked to approve the Performance Reports for the years ended 31 July 2025 and 31 July 2026, and to consider two amendments to the Constitution, each put as a special resolution.

The first amendment reinstates rule 11.3, which sets out who is disqualified from holding office on the Board and which was inadvertently left out when the Constitution was amended in May 2026. The second provides for a membership held in more than one name to nominate the individual who speaks and votes on its behalf, which the Constitution already requires of body corporate members but does not presently address for a membership in two or more names. Neither amendment changes the number of votes any membership carries. The full wording, the reasons for each and the Board's recommendation are set out in the notice that has gone to members.

The meeting will also consider the election of Life Members. The Board has put forward John and Rebecca Mooney, and the late Colin Hair posthumously, and the citations and presentations will be made at the Cup Eve function where more of the membership will be present.

Members will remember those who have died since the last Annual General Meeting, including Colin Hair, former Chairperson of the Association. The Chairperson's and Executive Manager's reports will be received, the Affiliate Representatives appointed by the Board Appointment Panel confirmed, and the result of the member election declared.

Who can attend and vote

Financial members for the 2026/27 year and Life Members are entitled to attend, speak and vote, and to appoint or act as a proxy. If you are not certain your subscription is up to date, email [email protected] and we will check for you.

A member who cannot attend may appoint another member as proxy to speak and vote on their behalf. The proxy form was included with the papers, must reach the Chair no later than 15 minutes before the meeting begins, and can be returned by email. Four resolutions are put to the meeting and the form allows you to direct your proxy on each one, or to leave the decision to them.
